Preparing Your Car for Guest Handoff
By Belo Rentals · Updated June 2026
The handoff sets the tone for the whole trip and creates the record you'll rely on if anything goes wrong. A consistent, well-documented process leads to better reviews and fewer disputes. Use this checklist every time.
Before the guest arrives
Clean the interior and exterior, check fluids and tire pressure, and make sure fuel or charge matches what your listing promises. Confirm the registration and current inspection sticker are in the car, and that any required documents are present.
Document the car with photos
Take clear, timestamped photos of the entire vehicle right before handoff — all sides, the roof, wheels, interior, and the odometer and fuel/charge level. This pre-trip record is your protection if a damage or mileage dispute arises later.
Walk the guest through the car
Show controls, charging or fuel-door operation, and anything quirky about the vehicle. Confirm the return time, location, fuel/charge expectation, and mileage allowance so there are no surprises.
- Confirm return time and place
- Point out existing cosmetic marks
- Explain fuel/charge and mileage expectations
- Share how to reach you during the trip
At return
Repeat the photo process at return, compare fuel/charge and odometer to the start, and note anything new. Handling issues calmly and with documentation keeps reviews positive and resolutions fair.
Frequently asked questions
Why photograph the car every trip?
Timestamped pre- and post-trip photos are your evidence in any damage, cleanliness, or mileage dispute. Make it a habit for every booking.
What fuel or charge level should I hand off with?
Hand off at the level your listing promises (often full) and ask for it to be returned the same way. State it clearly so a refueling charge is fair if needed.
How do I handle a late return?
Late-return charges are approved host charges you keep. Communicate expectations up front and document the actual return time.
